Contract Type: A normal working week is 37 hours. This role is a permanent role

Children North East is a growing charity, working to ensure that all babies, children and young people have the opportunity to grow up happy and healthy. The charity as a whole has been through a transformative restructure and due to this transformation the charity has grown substantially since 2019. Our Operational area will be led by two Directors an Operations Director and an Operations Development Director.

The current Operations Director has now been appointed internally as the Operations Development Director, this role will focus on system change including research, data, growth and further our development on specific pieces of work. This will include growing the demographics of children we work with to help us to meet their needs, changing reactionary work into intervention work and will lead on the following:
• CNE voice work – supporting babies children and young people to have a voice in the work that we do at CNE.
• Developing, implementing and leading on our training offer – in house online packages.
• Leading on new operational developments – research, scoping, pilots and evaluation.
• Driving forward our current work – regionally and nationally – stakeholder engagement, scoping new geographical areas for
development actively selling our work.
• Influencing and campaigning – working alongside policy/campaigning led by CNE, influencing external networks and systems.

The Operations Director will ensure that our current and future strategies will enable us to meet our ambitions. You will work closely with the Senior Leadership Team to drive the charity forward in meeting the end of its current 5 year strategy and be part of the development of the next 5 year strategy. You will create good working relationships with your senior leaders and Operational Leads and you will have a whole charity approach to the work required.

This role will Lead our Operational Leads to deliver the excellent services that sit within their portfolios including the following teams:

• Therapeutic including Counselling
• Communities
• Poverty Proofing

The Operations Director role will ensure the income, safety and quality of our services are delivered to the highest standards. With key leadership qualities, this role will ensure the sustainability of our services and work collaboratively with SLT to reach its ambitions of our current and future strategies. There will be specific collaboration with the Operations Development Director to ensure that once our seed and pilot work is established it is moved forward into Operations within the charity to benefit all of the people we work with. This role is also expected to inform the Operations Development Director of key themes/gaps in services that have been recognised through current service delivery work.

High Trees are a charity working across 5 thematic service delivery areas and teams (Education and Training, Employment and Careers, Children, Young People and Families, Community Action and Research and Sector Support). All our work is held together by our Operations team, who provide the support and structure that allows all of our service delivery to take place and ensures High Trees as an organisation functions.

We are seeking a skilled Operations Administrator, providing general support across the organisation as a whole, but predominantly working with our Operations team and Co-CEOs to ensure that High Trees remains an effective organisation, able to make the most impact for our beneficiaries. This is a varied and rewarding role which will allow you to build your skills and understanding of how charities operate day-to-day as well as contribute to our governance and strategic ambitions. Your remit will include general office administration; including the admin needed to efficiently manage our offices and community buildings, ensuring our organisational policies and processes are routinely reviewed, updated and implemented; assisting with events; and supporting our governance processes.

You will also carry out the administrative HR functions for High Trees, inducting new staff, maintaining our records on our HR software, facilitating all staff to carry out our mandatory training and helping with the administration of our recruitment processes. You will work with the teams to ensure compliance with our HR policies, procedures and HR paperwork.

About you

About the role

Reporting to the Head of People, the HR Officer will primarily:

• Act as first point of contact on general HR & operational queries for the staff team and administer relevant files and email inboxes
• Champion staff well-being, delivering our staff well-being events and socials, and supporting in the deliver of new well-being ventures
• Support in the recruitment of diverse and effective staff
• Support in the onboarding, training and development of our staff team
• Ensure that the operations contractors, including, cleaning, IT, security and facilities are fulfilling agreed service levels
• Look to where the People team may further develop and improve its processes and support for the staff team and Society, either to improve their own capabilities or those of other staff

Working pattern
35hrs, Mon-Fri | We are currently running a trial of the 4-day work week; staff can opt to work 32hrs over 4 days each week at no loss of salary.

Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
• Ensure the office and meeting rooms are well-maintained.
• Manage Sarcoma UK storage, ensuring it is fit for purpose.
• Liaise with office contractors and service providers to ensure the office runs efficiently.
• Assist with office refurbishments, expansions, and relocations.

Administration

• Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
• Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
• Managing deliveries to the office and organising couriers.
• Organise travel and accommodation bookings across the whole charity including fundraising events.
• Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
• Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
• Provide meeting room management, including bookings and catering.
• Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.

Health & Safety

• Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
• Regular health and safety inspections of the office and workstations.
• Carry out regular DSE tests
• Arranging regular PAT tests
• Cary out fire risk assessments (training will be provided)
• First aid assistance and maintain the first aid supplies (training will be provided)
•  Review and update the health and safety policy.

Other

• Support the operations team when required, this will include finance, database, and HR functions.
• The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

As our Senior Operations Officer, working closely with the Head of Operations, you will play a vital role in the smooth running of our organisational operations. The remit of the role covers a wide range of functions including senior officer responsibility for ICT systems, office management, building management, and also contributing to Quartet’s strategy in response to carbon reductions and equality, diversity and inclusion.

The ideal candidate for this role will have previous relevant ICT experience, operational experience of supporting a team in an office environment – preferably for a charity or not for profit organisation – and will have the necessary skills to work both practically and professionally with staff and trustees, tenants, and other third parties to deliver the best possible operational delivery across Quartet’s varied services.

• Permanent Full Time Contract: 35 hrs per week
• Salary: circa. £33,000 per annum.
• 25 days annual leave, plus all public holidays, and 3 extra days between Christmas and New Year
