Role: Facilities Manager

Purpose of the role
The Facilities Manager will be a key member of NAE’s operations team, responsible for overseeing the maintenance and operations of our 4-storey building (including gallery spaces, meeting rooms, performance space, workshop, artist studio, cafébar, plant room and technical storage) is fit for purpose.
Main duties of the role
Oversee planned preventative maintenance (PPM), testing/inspections, and reactive repairs across all building services including but not limited to plumbing, electric wiring, HVAC, lifts, film alarm, emergency lighting, fire extinguishers and suppression systems, intruder alarm, CCTV, access control, pest control, etc, within budget.
Ensure NAE’s building is always well-presented, clean and aesthetically in a good state of repair, ensuring all areas are maintained in a tidy and well organised.
Responsible for the management of the facilities budget, including negotiating the best possible value across utilities, contracts and service level agreements.
Ensure all maintenance and service works take place with agreed SLA’s, is delivered on time and to budget and service reports and other filing is well managed.
Responsible for Health and Safety across the building and organisation including health and safety policy, fire strategy, risk assessments covering all areas of the building and specific RAs for each event, safe systems of work, accident/incident reports and compliant filing.
Responsible for building security systems, keys and fobs, alarm monitoring and keyholding services, and alongside the General Manager oversee emergency procedures & act as a fire warden.
Responsible for premises cleaning (including line management of two part-time cleaners) and associated services such as waste management and sanitary collections.
Support the Executive Director to develop and implement an Environmental Policy to ensure that NAE considers the environment within all new and existing suppliers’ arrangements.Responsible for carbon footprint reporting.

The Facilities Assistant role:
As our Facilities Assistant, you will be responsible for the presentation of the premises and the day-to-day compliance with health and safety related to this role. Responsibilities of our Facilities Assistant:
- With the team, deliver the daily, weekly, monthly facilities duties, including cleaning and to make sure that St Luke’s is well presented for visitors

- To cover the reception service as needed or in absence of the Reception team and to provided outstanding customer service at all times

- An understanding of overseeing minor repairs and maintenance, controlling heating, ventilation and other mechanical systems, with a willingness and ability to learn on the job
- An understanding of building related health and safety, and willing to learn and do training in this area
- Experience of providing excellent customer service
- Good written and verbal communication skills, and the ability to communicate confidently and effectively
- A hands-on individual and flexible with regard to tasks including cleaning, light maintenance and room presentation
- IT literate
- Able to work independently and demonstrate initiatives in improving facilities’ systems

Main Responsibilities:
- To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities.

DESCRIPTION

Job Purpose - Facilities Manager - Projects
The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.
The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.
This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.
Reporting directly to the Head of Estates, the role holder will:
- Lead the estates input in the expansion of the existing property footprint.
- Onboard new additions to the estate’s property portfolio efficiently and effectively.
- Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
- Support the wider estates team in the delivery of business-as-usual activities.
- Be visible and on site to ensure the smooth running of projects and the timely resolution of issues.
Dimensions
Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.
Principal Accountabilities
Estates and Facilities Management
- Responsibility: Act as the senior estates and facilities professional on project work assigned.
- Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements.
- Project Performance: Ensure a robust contract performance management framework is in place for each project.
- Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements.
- Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements.
- Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence).
- Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint.
- Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team.
- Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work.
Financial Management
- Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time.
- Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation.
- Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation.

About the role
As Facilities & Governance Coordinator you will act as a first point of contact in our London office, and work in collaboration with the Governance team across their full range of activities, and consult regularly with the rest of the organisation, Trustees and Members. You will be responsible for coordinating meetings and services across the Institute and providing effective and efficient administrative support across the team.
Key responsibilities will include:
- Providing a professional and welcoming service to all internal and external visitors to the office.

- Acting as the main point of contact for CMYA applicants once in the judging process, coordinating their application from entry through to completion of the interview process, ensuring a consistent, high-quality experience is delivered throughout.
- Being a first aider and fire Marshall for the Office.
- Taking day-to-day responsibility for the health and safety procedures for the London office.

We're looking for an analytical thinker to join our Facilitation and Planning team as Facilitation and Planning Officer.
You'll work as part of a team who are responsible for planning and scheduling of all events, conferences and one-to-one sessions across our programme suite. We recruit and support expert faculty to ensure our programmes are delivered to the highest quality in order to enrich participant learning.
Your main role will be to work within the Facilitation and Planning team, supporting with the development of our online system to auto-generate events. You'll be responsible for setting up reporting and monitoring processes to support our optimisation of facilitators, and work closely with other internal programme stakeholders to oversee the creation of new policies and processes such as our Quality Assurance and development offer.
Please note - this role is internally known as Facilitation and Planning Senior Associate.

- Lead on the scheduling process of our programmes, ensuring scheduling aligns with sequencing requirements
- Be the first point of contact for our team of external faculty (facilitators and coaches), supporting general queries and processing invoices.

The Role
We are seeking a Project Coordinator on a part-time basis to help us create and deliver our vision to develop our site and buildings for the future. This includes modernising our existing facilities, improving access and becoming more environmentally sustainable.
These are ambitious plans and we are not expecting to achieve everything at once. We are looking to create a series of distinct, prioritised projects so we can move forward and need more people capacity in our small team to do so.
The Project Coordinator is a new role, and will undertake the essential administrative, communication, planning and reporting needed to help make our plans a reality. In the first instance, this will be to assist with key building renovations and improvements such as creation of disabled facilities.
The Project Coordinator will not necessarily have formal project management experience, but must be able to pull together a wide-ranging set of requirements, create and improve processes and practices that will allow us to better manage our site development in future.
This role might suit someone wishing to work either three full days or part of each working day. We are happy to discuss flexible working hours.
Principal Duties
These will include:
Gathering and analysing management data
- Using customer bookings and finance systems to extract key information.
- Defining and reporting on key metrics to evaluate the progress and success of projects.
- Collating and using data as required to help with other key strategic tasks such as cost-benefit analysis and business cases.
- Providing data as required to support business planning, funding bids, marketing and communication.
Project communication
